eCommercePlayer ("we," "us," "our") is operated by Imagesoft Northwest, LLC, a Washington State limited liability company. Our website is located at www.ecommerceplayer.com. For privacy-related inquiries, you may contact us at support@ecommerceplayer.com.

2. Information We Collect

2.1 Account Information

When you register for an account, we collect your name, email address, and a password you choose. You may optionally provide a phone number and timezone preference.

2.2 Media Content

We collect and store the audio and video files you upload to the service, along with metadata such as file names, durations, and encoding status.

2.3 Payment Information

We do not directly collect or store credit card numbers or bank account details. Subscription payments are processed by PayPal. When PayPal sends us a payment notification, we receive and store transaction details including your PayPal payer email address, transaction IDs, subscription IDs, and payment amounts. Please refer to PayPal's Privacy Policy for how PayPal handles your data.

2.4 Usage and Analytics Data

We collect anonymized playback statistics for your media players, including play counts and bandwidth usage. This data is aggregated from server-side access logs and does not identify individual viewers. We do not collect personal data from people who view your embedded media players on third-party sites (such as eBay listings).

2.5 eBay Integration Data

If you connect your eBay account, we receive and store an OAuth access token and your eBay user ID to manage player embedding on your listings. We access listing data (titles, item IDs, status) only as needed to provide the embedding service.

2.6 Support Conversations

When you contact us through our live chat widget (powered by Intercom), your messages, name, email, and account details are shared with Intercom, Inc. to provide customer support. Please refer to Intercom's Privacy Policy for how Intercom handles your data.

2.7 Automatically Collected Data

Our servers automatically log standard request data including IP addresses, browser type, referring URLs, and timestamps. This data is used for security monitoring, abuse prevention, and service reliability.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the eCommercePlayer service
  • Process and store your media files (encoding, hosting, and delivery)
  • Process payments and manage your subscription
  • Communicate with you about your account, including service updates and support responses
  • Generate anonymized analytics and playback statistics for your media
  • Detect, prevent, and address fraud, abuse, and security issues
  • Comply with legal obligations

We do not sell your personal information to third parties. We do not use your data for advertising or behavioral profiling.

4. Third-Party Service Providers

We share data with the following third-party services solely to operate eCommercePlayer:

  • Microsoft Azure — Cloud infrastructure, data storage, and media hosting (servers located in West US, United States)
  • PayPal — Subscription billing and payment processing
  • Intercom — Live chat customer support widget
  • SendGrid (Twilio) — Transactional email delivery (password resets, account notifications)
  • eBay — Listing integration (only when you connect your eBay account)

Each provider processes data under their own privacy policies and in accordance with our data processing agreements where applicable.

5. Cookies and Tracking Technologies

We use essential cookies only to maintain your login session. These cookies are httpOnly, transmitted over secure (HTTPS) connections, and expire after 7 days.

We do not use third-party tracking cookies, advertising cookies, or analytics cookies (such as Google Analytics). The Intercom live chat widget may set its own cookies to facilitate the chat experience; see Intercom's cookie policy for details.

6. Data Storage, Security, and Retention

Your data is stored on Microsoft Azure servers in the West US region of the United States. We implement industry-standard security measures including encrypted connections (TLS/HTTPS), secure cookie handling, access controls on infrastructure, and encrypted database connections.

We retain your account data and uploaded media for as long as your account is active. If you request account deletion, we will delete your personal information, media files, and player configurations within 30 days. Certain data (such as payment transaction records) may be retained longer as required by law or for legitimate business purposes such as fraud prevention and financial record-keeping.

Server access logs are retained for up to 7 days. Aggregated analytics data (play counts, bandwidth totals) is retained indefinitely but does not contain personal information.

No method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security but are committed to protecting your data using commercially reasonable measures.

7. International Data Transfers

Your data is processed and stored in the United States. If you are accessing eCommercePlayer from outside the United States, please be aware that your data will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country. By using our service, you consent to this transfer.

8. Your Rights

8.1 All Users

Regardless of where you are located, you may:

  • Access the personal information we hold about you by contacting support
  • Update your account information through your account settings
  • Delete your account and all associated data by contacting support
  • Export your media files at any time by downloading them from your account

8.2 European Economic Area (EEA) / UK Users (GDPR)

If you are located in the EEA or UK, our legal bases for processing your personal data are:

  • Contract performance — Processing necessary to provide the service you signed up for (account management, media hosting, encoding)
  • Legitimate interests — Service security, fraud prevention, and service improvement
  • Consent — Where you have given explicit consent (e.g., connecting your eBay account)
  • Legal obligation — Where we are required to process data to comply with applicable laws

Under the GDPR, you also have the right to:

  • Rectification — Request correction of inaccurate personal data

  • Restriction — Request restriction of processing in certain circumstances

9. Children's Privacy

eCommercePlayer is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are under 13, please do not register for an account or submit any personal information. Users between 13 and 18 must have parental or guardian consent to use the service.

If we learn that we have collected personal information from a child under 13, we will promptly delete that information. If you believe a child under 13 has provided us with personal information, please contact us at support@ecommerceplayer.com.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a new "Last updated" date.
